When business owners ask how to use data to grow sales, they usually assume the answer starts with buying new software. In most cases it does not. The sales data already exists — in POS exports, bank statements, WhatsApp order logs, or a sales rep's notebook. The real work is connecting what already exists so it can answer a specific question.
Start with one question, not a full dashboard
A common mistake is trying to build a comprehensive dashboard before knowing what decision it needs to support. A more useful starting point is a single, specific question: which products actually make money after cost, not just which sell the most units? Which branch or sales channel is growing and which is flat? Which customers buy repeatedly versus once and disappear?
Answering one well-chosen question with clean data is worth more than a twenty-tile dashboard nobody checks weekly.
Revenue and margin are not the same conversation
It is common for a business to discover, once sales and cost data are properly connected, that their highest-revenue product is not their most profitable one. Promotions, high-touch delivery, or bulk discounting can quietly erode margin on exactly the products that look best on a top-line sales report. This is usually invisible until sales volume and true cost sit in the same view.
Consistency matters more than sophistication
Before any dashboard or analysis is useful, product names, categories, and branch labels need to be consistent across every data source. A product called "20L Jerrycan" in one branch's spreadsheet and "Jerry can 20 litre" in another will be treated as two different products by any tool, no matter how advanced. Cleaning this up is unglamorous, but it is the step that determines whether the resulting numbers can be trusted.
Where to start if you are just beginning
If you are not ready for a full Power BI setup, a well-structured Excel workbook with Power Query behind it can answer the same first questions. The goal at the start is not the most powerful tool available — it is a reliable answer to one question you can act on this month.
