If your business runs a fairly standard version of a common process — a straightforward single-location retail till, a common accounting workflow, a widely used booking pattern — an established off-the-shelf product is usually cheaper, faster to deploy, and more reliably maintained than a custom build. Paying for custom development to replicate something that already exists well is rarely a good use of budget.
When off-the-shelf starts to break down
Problems appear when your workflow does not match the software's assumptions closely enough. This shows up as a growing collection of manual workarounds: a parallel spreadsheet to track what the software cannot, a WhatsApp group used because the built-in notification feature does not fit your team's structure, a monthly manual export-and-reformat step because the reporting module does not show what you need.
